  • ACCOMMODATION POLICY

Check in and check out: Check in time is 2pm and check out time is 10am unless separate arrangements are made with management.

Noise: Provincial Hotel Ballarat is a quiet, tranquil venue where guests come to relax and enjoy our hospitality. Excessive noise will not be tolerated at any time but especially after 10pm. In its absolute discretion, management reserves terminate the remainder of any offending guests’ booking, without refund.

Smoking: Provincial Hotel Ballarat is a non-smoking property. Smoking inside the rooms is strictly prohibited. Cleaning fees apply. Please see staff on arrival for designated smoking areas.

BYO: As Provincial Hotel Ballarat is fully licensed, BYO alcohol may not be consumed in any part of the Hotel.

Restaurant Closures: Lola Restaurant is closed on Christmas Day and Boxing.

Damage: You agree to reimburse Provincial Hotel Ballarat for the cost of any damage or additional cleaning caused to any part of the Provincial Hotel Ballarat by you or your party during your stay.

COVID- 19 CANCELLATIONS & AMENDMENTS

The Provincial Hotel Ballarat is committed to offering our guests flexibility to assist in dealing with these unique circumstances, irrespective of how you have booked. 

If travel restrictions, border restrictions or business closures due to COVID-19 has prevented you from amending or cancelling your booking inside the cancellation conditions of your reservation, we will allow a change of date within 12 months of your stay, subject to availability. Alternatively, you can receive a gift voucher for the total value paid, valid to use for 3 years from the date of cancellation. 

If you, or a person in your reservation, is displaying symptoms of COVID-19 within the cancellation penalty conditions of your arrival date, we may allow one penalty free amendment of your booking to a date within 12 months of your original stay, subject to availability. All other conditions as per the original booking remain applicable. 

We reserve the right to refuse entry or service to a guest displaying COVID-19 like symptoms at check-in. No refund of any amounts paid will be made and you are responsible for your costs or expenses that may arise. In no event shall The Provincial Hotel be liable for any loss of any nature arising out of such an event. 

PAYMENT POLICY

Please be advised that a 1.75% credit card surcharge is applicable to VISA & Mastercard payments, and 3% for AMEX & Diners card only. 

Full pre-payment of the reservation will be required and charged to the credit card provided at the time of booking. 

By providing your credit card details you authorise Provincial Hotel Ballarat to charge the nominated credit card for the amount of your stay as well as any additional services rendered or goods consumed in room, and/or from our restaurant and bar.

CANCELLATION/AMENDMENT/ REFUND POLICY

We are a boutique hotel and cancellations affect us significantly. 

In the event of a normal booking amendment or cancellation, guests are entitled to an amendment or refund of their booking deposit UNLESS one of the following applies:

  • Where a booking is amended or cancelled after 5pm 7 days prior to the arrival date, the booking will not be amended or refunded.

No amendment or refund will be granted in the event a guest does not arrive for their booking or amends or cancels on the date of their booking.

In the unlikely event that you must amend or cancel your reservation, the amendment or cancellation must be made 7 days prior to the arrival date, with a confirmation email to be obtained. If an amendment or cancellation confirmation email is not received, the booking remains in effect.

All cancellation charges will be processed using the credit card used by you to make the booking. All refunds will be processed within 14 days. 

Please note that a separate cancellation policy applies to Group Bookings.

GENERAL

These Terms & Conditions are governed by and construed in accordance with the laws of Victoria, Australia. You irrevocably and unconditionally submit to the non-exclusive jurisdiction of the courts of Victoria.

If any provision of these Terms & Conditions is found to be invalid or unenforceable by a court of law, such invalidity or unenforceability will not affect the remainder of the Terms & Conditions, which will continue in full force and effect.

GROUP BOOKINGS

The Provincial Hotel Ballarat offers Exclusive-Use options tailored for special occasions, small conference gatherings, incentive functions and other events. Our Lola restaurant, seats up to 60 guests and offers a la carte or tailored degustation dining options featuring the best local produce. 

Offering a versatile and inviting venue, our 23 stylishly curated rooms, and spacious meeting room, positions it as the address to be in Ballarat for that intimate gathering or to reconnect with colleagues. 

All Exclusive Use requests must be made in writing directly to The Provincial Hotel Ballarat. The Provincial reserves the right and full discretion to refuse Group Bookings & Exclusive Use requests altogether. Exclusive Use Terms & Conditions will be supplied individually. 

Where ten or more rooms are booked, the booking will be treated as an Exclusive Use Booking and the organiser will be required to book all 23 rooms for a minimum of 2 nights and be bound by the Exclusive Use Terms & Conditions.

Exclusive Use Fee: $19260
